Offboarding from Work 365

When you decide to offboard from Work 365, it’s important to follow the correct steps to ensure your environment is clean, billing is closed, and all dependencies are removed properly.

This article explains how to decommission Work 365 in the Dynamics Version (DV).


Step 0: Contact Billing or Your Customer Success Manager

Before making any changes in your environment, you must first notify us that you plan to discontinue Work 365.

  • Email: billing@iotap.com

  • Or reach out directly to your assigned Customer Success Manager (CSM)

Your billing team or CSM will:

  • Review your subscription and contract commitments

  • Confirm any final invoicing or settlement steps

  • Provide guidance specific to your tenant and Partner Center configuration

⚠️ Important: Do not uninstall Work 365 or deactivate contracts until you’ve confirmed with Billing/CSM.


Step 1: Review Active Subscriptions and Contracts

  1. Navigate to Work 365 App → Billing Contracts.

  2. Review all active contracts and subscriptions.

  3. Ensure there are no pending invoices or unbilled license changes.

    • Generate a final invoice for open billing cycles.

    • Resolve any discrepancies (e.g., proration or adjustments).

Step 2: Sync Final Data with Microsoft Partner Center

  1. Open Partner Center Connector in Work 365.

  2. Run a final sync to make sure subscriptions in Work 365 match Partner Center.

  3. Confirm that all subscriptions have been accounted for and no errors remain.

Step 3: Deactivate or Cancel Contracts

  1. For each Billing Contract, update the status to Inactive once invoicing is complete.

  2. For each Subscription, set the provider action to Do Nothing or Cancelled depending on your exit process.

  3. Archive old contracts if you want to retain records for reporting.

Step 4: Remove Connectors and Integrations

  1. Go to Work 365 → Admin Settings → Integrations.

  2. Disable or remove integrations such as:

    • Microsoft Partner Center Connector

    • QuickBooks, Xero, or Business Central Connector

    • Payment Gateways (Stripe, Authorize.Net, etc.)

Step 5: Remove Security Roles and Users

  1. In Dynamics 365, navigate to Settings → Security → Users.

  2. Remove Work 365 security roles from users:

    • Work 365 Admin

    • Work 365 Billing Manager

    • Work 365 Sales Agent

  3. If no longer needed, deactivate users who were created only for Work 365 operations.

Step 6: Uninstall Work 365 Solution

  1. Navigate to Dynamics 365 → Settings → Solutions.

  2. Select the Work 365 Solution.

  3. Choose Uninstall.

    • This will remove Work 365 entities, forms, and processes from your environment.

    • Historical Work 365 data may also be removed. Export data before uninstalling if needed.

Step 7: Final Checklist

  • ✅ Final invoices generated

  • ✅ All contracts deactivated

  • ✅ Partner Center sync completed

  • ✅ Integrations removed

  • ✅ Roles and users cleaned up

  • ✅ Solution uninstalled


Additional Notes

  • If you plan to return to Work 365 in the future, consider exporting your contracts and subscriptions for re-import.

  • Offboarding does not automatically cancel your Microsoft Partner Center agreements—you must handle those separately.
