Overview
Email templates in Work 365 are essential for automating communications such as invoice delivery, subscription updates, and portal invitations. A template may appear “missing” if it has been deactivated, deleted, or was not initialized correctly. This article explains how to locate, restore, or regenerate missing email templates in both the Core and Portal components of Work 365.
Steps to Replace a Missing Email Template
1. Check for Inactive Templates
Go to Work 365 > Email Templates
In the view selector, choose Inactive Email Templates
Locate the missing template
If found, change the status to Active to restore it
2. Determine the Type of Missing Template
✅ Scenario A: Missing “Send Portal Invitation” Template
Used in: Self-Service Portal
Solution:
Go to Work 365 > Admin Hub > Self-Service Portal Setup
Follow the steps to Reinitialize the Portal Configuration
Return to the Email Templates view and confirm the template has been restored
✅ Scenario B: Missing Core Template (e.g., “Send Invoice Notification”)
Used in: Subscription billing and CRM communication
Solution:
Go to Work 365 > Admin Hub > Service Configuration
Click Change Service User
Re-run the Admin Consent process
After consent completes, refresh the Email Templates view in Work 365

Important Considerations
Templates Are Auto-Generated
Email templates are automatically created during setup. If missing, ensure all onboarding and admin consent steps were successfully completed.
♻️ Avoid Manual Deletion
Do not delete system-generated templates unless you have configured a replacement template and understand the impact.
